If your bank account changes to a new one, proceed as follows:
Adding a new bank account to the Bank account information -view
- Fill in the bank connection authorization and send it to the bank.
- Save the new bank account number in Procountor (Management > Company info > Bank account information.)
- When the old bank account becomes inactive and you want to use the new bank account as the default payment account, mark the fields: Default payment account, Default invoice account and On invoice template.
- Default invoice account: When this option is selected, the bank account will be shown on sales invoices' and sales orders' header as the primary payee account.
- Only one account can be set as default invoice account on Bank account information view, but default invoice account can also be set per customer in customer register.
- Default payment account: When this option is selected, the bank account will be used as default payment account for outgoing payments.
- Only one account can be set as default payment account.
- On invoice template: When this option is selected, the bank account will be shown on the footer of sales invoices and sales orders.
- When the old bank account becomes inactive and you want to use the new bank account as the default payment account, mark the fields: Default payment account, Default invoice account and On invoice template.
Setting the old bank account passive
When the old bank account becomes inactive, set it to Passive -status.
- Go to Management > Company info > Bank account information.
- Set the old bank account to Passive from the Status -drop down menu.
- When the bank account is passive, bank statements and reference payments can still be view.
- The account can no longer be selected as a payment account.
Please note! If you want to delete the old bank account, you will no longer be able to browse account statements or reference payments. It is not necessary to delete the old bank account, unless you need to use it in another Procountor environment.
Things to consider in sales invoicing
- If you are sending sales invoices whose due date is in the future (when the old bank account is no longer valid), mark the options Default invoice account and On invoice template base in sufficient time for the new bank account.
- Confirm with your own bank when your contract for the old bank accounts ends, so that the payments are no longer made to the old account after it is no longer in use.
- You can inform your customers about the change of bank account in the Additional default information - field of the sales invoice. For the message to be forwarded to the sales invoices of all customers, you can add additional default information to the Usage settings in Administration > Company information > Usage settings.
If the old bank account has been added to the Customer’s basic info - view in the customer register as the default account, the new bank account is not automatically updated on the customer’s sales invoices.
You can change the new default account for customers at once using the Edit multiple -function.

Please note! Sales invoices that have already been created before the change will not be updated with the new bank account information. The change only affects new sales invoices.
Things to consider in purchase invoicing
- Find out from your bank when your contract with the bank ends and you can no longer make payments from your old bank account.
- If you have placed invoices for payment (invoices in Payment queued-status) using the old account number, the payments will remain in error when the contract for the old bank account ends.
The payment can be cancelled by following these steps:
Search the invoices from Search > Receipt search -view. Choose Payment queued as Status in Search criteria.
- Move from search results to the Payment-view by activating the invoice in search results and click the Payment-button above the search results.
- In the opening Payment -view, click the Cancel payment -button.
- You can then pay the invoices from the new bank account.
