Audit log -view (Management > Audit log) shows all the log information of the Procountor's environment, i.e. history entries of all actions that have been performed in the program and by whom. An example of the log information to be searched are accounting records such as when the memo was created and what are its entries and when the payroll was approved and paid.
Audit log view can be used for example auditing purposes and all the logs company is generating can be fetched and exported.
Audit log user right
All who have Audit log user right set to All rights in Users and user rights view have access to the Audit log view. Audit log user right allows user to see all logged data about environment, including data that user might have limitations to in other parts of the environment. For example, if the user does not have rights to payroll (all payroll functions) or does not have rights to purchase or sales invoices, the user can see all related log information in the Audit log view. For this reason, if a user is not allowed to see salary information or payments, for example, do not set Audit log -right to the user.
When you set the right for the user, the program requires a confirmation.
Audit log user right is set on as default for Main user and Management/auditor user role. Users, who were added before May 18, 2024, the Audit log -user right will not be activated automatically. The user right is automatically activated when a new user is created with these roles or when a user role is changed for an existing user.
What log information does the Audit log view shows?
- Accounting creation and updates
- Invoice events
- Users and user rights
- Financial periods and tracking periods
- Chart of accounts changed
- Payment transactions (payments made via banks)
- AP/AR payment events
- Bank account changes
- Default postings
- Default postings per receipt types
- Default postings for bank statements
- Default postings for reference payments
- Sweden and Denmark only: Serial numbering
Search criteria
You can define search criteria as follows:
Period: You can search for log information based on the Calendar year, Financial year, Custom period (max. 12 month).
Date range: Choose the year.
From / to: The date fields are activated when you have selected a custom period.
Category: Select log information from accounting or other (the report will show logs from invoice events, payment transactions, posting defaults, chart of accounts, users and privileges, financial years, bank account information).
Users: You can mark separately the users whose log information you want to view.
Finally, press the Apply button.
Search results
- The search results for log information appear in the upper table.
- You will see the following information :
- Timestamp
- User name
- Category (for example Invoice events, Users and privileges)
- Object (for example sales invoice, purchase invoice, Financial years)
- Action
- Activity description
- You can set which information you want to appear in the search results from the wheel button in the upper right corner.
- The order of the search results cannot be changed.
Exporting files
Logged data can be downloaded as CSV - or PDF -Audit log report -file.
- First, enter the search criteria and press the Search button.
- Press the Export CSV button on the top and the program will start creating a CSV format file. If you want the file in PDF format, press the drop-down button and select PDF.
You will get a notification what says that generating the file may take some time depending on the size of the data. You can continue using the Procountor during generating. Once the export is complete, you will receive an email notification with a link to download your file. - Information about all exported files is available on Exported files view below, where you can also download files.
The file status tells you when the file is ready to download. Select the files you want to download and press the Download button. You can refresh the view from the Refresh button to get up-to-date information.
The file status can be:
- Preparing file: The file is still being generated and the file is not yet available.
- Ready to download: The file can be downloaded.
- No longer available: The file can be downloaded in the program for 6 days, after which it is deleted.
- Failed: You can try to create the file again with the same search criteria. If you are still unable to create the file, please contact customer service.
You can add and hide columns from the Wheel button in the upper right corner. Hiding columns does not affect the contents of the file.
