You can access the Management Report in Reports> Management Reporting.
The new Management Reporting is a revised version of the old Management Reporting. The new reporting retrieves the information in real time from Procountor's database and usability has been improved. Both the old and the new report will function side by side for a while.
Instead of having to separate reports for basic management report and another one for management report with dimensions, we have now added the dimensions as a filter option. If the environment does not have dimensions in use, the filter is grayed out. Users can run the report with or without dimensions also in those environments where the dimensions are in use.
Management reporting view enables the user to monitor the development of the income statement and balance sheet within the selected time period and dimensions. Central functions in the view are Income statement and Balance sheet buttons that are used to change the subject of observation. A deeper look into the different view is available under the headings below.
Usage rights
In order for the user to access Management reporting (new), the user must have the following access rights:
- At least viewing rights in Accounting reports and payroll.
- Not in use: Access only personal salaries limitation.
- If the user has Dimension-specific limitation in use, the sales report is not available.
Search Criteria
By default, the report retrieves data for the current fiscal year.
- First, define the search criteria for the report.
- Click Apply.
- The program generates sales reports in line with the search criteria.
The report can be filtered with the following criteria:
Period
From the Period button, you can define the period for which you want to retrieve data.
- Current period
- Previous year

Comparison period: Use the drop-down button to add a comparison period and define the period for the comparison.
- Same last year
- Previous year
- Custom period
Please note when running the balance sheet report that the start date of the period has been selected as the start date of the fiscal year to ensure the opening balances are correct.
Budget
- Budget listing: Select the budgets to compare.
- If budgets have not yet been imported into the environment, they cannot be selected through this search criterion. More information on importing budget data is available here.
Accounts
- Accounts : Select the accounts you want to include in the report from the list.
- Select all : Selects all accounts in the environment.
- Clear selection: Clears all selections.
Search field: You can filter the list by entering the account name or any part of the name/number.
Transactions
- All transactions: Retrieves both business and other transactions.
- Business transactions: Retrieves business transactions, i.e., receipts with the status Not sent, Sent, Payment queued, Payment sent to bank, Paid, Approved, Partly paid, Marked paid or Invoiced.
- Other transactions: Retrieves transactions that are not business transactions.
Dimension
- Dimension - Dimension name: When you select a dimension, a list of dimension items opens below. The button name updates according to the selected dimension. Select 1 to 20 items.
- Not allocated - By selecting not allocated, you define whether the report will also include income and expenses that are not allocated to dimensions and their items. If unallocated are included, they may still belong to another dimension – for this reason, they are unallocated only in relation to the dimension selected in this search criterion.
- Clear selection: Clears all selections.
- Search field: You can filter the list by entering the dimension or item name or any part of the name.
Note If the company’s Procountor environment does not have dimensions enabled, the field is grayed out. The report can be run with or without dimensions, even in environments where dimensions are enabled.
Create Report
- Apply: makes the program search for information in line with the search criteria.
- Reset to default: clears your selections and resets the default search criteria.
- Show by quarter / months: You can choose whether to show the data by quarter or by months.
- Export to PDF: Allows you to download all the info in PDF format.

View details: allows you to browse the content of the graphs at row level.
- You can switch views by pressing the Income Statement or Balance Sheet tab.
- The Export to excel –button exports the report data to an Excel file.
- Back button: Returns to the general view of the graph.
Income Statement
You can access the Income Statement graphs by selecting the Income Statement tab at the top. By default, it is selected.
- All the info can be saved as a PDF file by pressing the Export to PDF button in the upper right corner.
Income Statement graph
The upper graph of the view (Income statement graph) presents the data of income statement within selected time period. If comparison period is activated, this graph shows the comparison income, expense and total with a pale color compared to the corresponding bar of the chosen time period.
The graph has four display options, which can be updated on the graph by clicking the respective boxes. By default, the following options are available:
- Net revenue
- Operating profit (loss)
- Profit (loss) before appropriations and taxes
- Profit (loss) for the financial year
The selectable options can be modified if necessary in the default report formulas view.
Two different presentation formats can be selected for the graph.
From the Chart type drop-down menu, you can select:
- Periodic
- Cumulative
The chart can be saved as a PNG image file by pressing the Export to PNG button.
Income Statement
The middle chart (Income Statement chart) presents the income statement data for the selected period. If a comparison period is in use, the comparative income, expenses, and total are shown in a lighter color relative to the corresponding bars for the selected period.
Two different presentation formats can be selected for the chart through the Chart type -button:
- Horizontal
- Waterfall
The chart can be saved as a PNG image file by pressing the Export to PNG button.
The lowest table in the view shows the income statement data in row format, and if a comparison period is in use, the difference to the comparison period in € and the difference to the comparison in % fields are also shown.
- The table can be downloaded as an Excel file using the Export to Excel button.
Balance Sheet
There are two sections in balance sheet reporting; the upper is a graph, the lower is in row format instead. If comparison period has been activated in the search criteria, data concerning the comparison period comes visible in both sections.
- All the info can be saved as a PDF file by pressing the Export to PDF button in the upper right corner.
- The visible chart can be downloaded as a PNG image file using the Export to PNG button.
- The visible table can be downloaded as an Excel file using the Export to Excel button.
- The arrow button in the upper right corner of the table allows you to expand or reduce the view.
