The Procountor mobile application uses the customer and product registers from the Procountor environment when creating a sales invoice.
User rights
To create sales invoices in the Procountor mobile application, the user must have the following user rights:
- Rights for sales invoices / group invoices: All rights
- Can search and view sales invoices
- Can create and edit sales invoices
- Search sales invoices: All rights
- Customer register: All rights / View rights
- Product register: All rights / View rights
With these user rights the user can create, send, and search for sales invoices, as well as view the customer and product registers. If the user rights are limited to View rights, the user cannot make changes, add new customers or products to the customer or product registers.
Creating a new sales Invoice
1. Create a new sales invoice by pressing the Sales invoice button on the Home view.
2. Select the recipient for the invoice.
- Customer information comes from the customer register in your Procountor environment.
- You can search for customers from the YTJ register by name through the Search field, which pre-fills the new customer’s information.
- You can also manually enter customer information by pressing the Add recipient manually button at the bottom and save the new customer information to the customer register at the same time.
- We recommend saving the information to the customer register, as otherwise the invoice will not be linked to a customer in the register.
3. The default invoice channel defined for the customer is automatically selected as the invoice channel.
- If the customer information is entered manually or it is a new customer, the default invoice channel is e-invoice.
- Change the invoice channel by pressing the Invoice channel field and select either:
- E-invoice: The sales invoice is sent electronically to the recipient’s system.
- Email: The invoice is sent as a PDF attachment to the customer by email.
- Mail: The invoice is sent electronically to the printing service (Apix Messaging Oy).
- Don't send: The invoice is not sent through the application but is sent manually, e.g., from your own email.
- Customer e-invoice address information can retrieve from the Tieke e-invoice address directory.
4. Enter Invoice additional invoice details.
- The order reference is visible on the customer’s invoice.
- The default penal interest % is defined in the Debt Collection settings of your Procountor environment and can be modified per invoice in the application.
- The invoice language determines the language in which the recipient receives the invoice.
- Text written in the Additional information field is visible on the customer’s invoice above the invoice lines.
- Seller’s notes are not visible to the invoice recipient.
5. Select the invoice date, term of payment, and due date.
- Fields can be edited.
- The payment term defined for the customer is used as the payment term.
6. Add row by pressing the button to access the product register, where you can select the products to be added to the invoice.
- The product register is the same as in your Procountor environment.
- The product register lists the products you have previously used first. The register shows the products in the same currency as the company’s currency.
- You can add and save new products to the product register by pressing the Create new button at the bottom.
7. Press the Done button to proceed to approve the invoice.
- Approve the invoice by pressing the Approve button.
- View the invoice by pressing the Show Invoice button.
- From the Choose action button, you can still edit the invoice details, add cost centers, or invalidate the invoice.
8. Once the invoice is approved, its status will be Not sent. Send the invoice to the recipient by pressing the Send button.
- From the Choose action button, by selecting Return back, you can return the invoice to the Waiting for approval status.
