On this page, you will find information about the permissions required for users to use the Procountor app and how to manage the app’s usage within an organization. The instructions are written from the perspective of an admin or equivalent user.
Please note that simply deleting the app from a phone does not cancel the app’s paid features. Terminating the app for one or more users requires following the instructions provided in this article.
Required User rights
Using Procountor mobile app's features requires certain user rights. These user rights are same as in Procountor software and can be managed on the Users and user rights view.

In order to take photographs and create travel and expense invoices in the Procountor mobile application, the user must have the following rights:
- All rights to Rights for travel & expense invoices.
- All rights / Viewing rights under Search travel & expense invoices.
- The information of the person making the travel/expense invoice must be filled in the person register at Registers > Person register. The register must contain at least the person’s name, personal ID and IBAN account number.
- When a user is in the person register, their username must be linked to the person register using the Link to a user function.

The following settings require all user rights for "Company info".
Disable features that are subject to a fee
By disabling the use of Procountor mobile app's functionalities, you can prevent users from taking any chargeable features into use. Disabling the the use will deactivate any existing subscriptions.
In case this setting is enabled and users can take chargeable features into use, the mobile usage charge will be applied to the Procountor monthly invoice.
- 1. Go to the Usage settings view in Procountor by selecting Management > Company info > Usage settings.
- 2. Under Integration settings in the Usage settings view, remove the selection from “Procountor mobile app paid functionality is allowed”
- 3. Save the changes by clicking the Save button.
- There is no notice period in the Procountor mobile app. You will no longer be charged for using the app when paid features are blocked.
- When the paid features of Procountor mobile are disabled, the users can only use the free features of the mobile application.
- Receipts photographed with the application will not be lost when the use of the feature is disabled, they can still be found in Procountor’s receipt management.
Discontinue / deactivate the use of Procountor mobile app
In the usage settings, it is possible to deactivate Procountor mobile from an individual user. Please note that this action alone does not prevent these users from re-enabling the paid features.
If you wish to completely block the paid features, see the previous section (“Disable features that are subject to a fee”).
To deactivate Procountor mobile from a user:
- Go to the Usage settings view in by selecting Management > Company info > Usage settings.
- Go to Integration settings in the Usage settings view.
- Open the list of Procountor mobile application users by clicking the Procountor mobile users link.
- In the new window, select the users for whom you wish to discontinue the Procountor mobile version.
- After selecting the users, click the Discontinue Procountor mobile app button.
Receipts photographed with the application will not be lost and can still be found in Procountor’s receipt management.
