The Ledger accounts report shows the totals of the debit and credit entries in each account within the selected time period. The report can be used e.g. in group reporting when notifying the parent company of the balances of the subsidiaries' accounts.
The ledger accounts report can be found from Reports > Accounting reports. On Accounting reports view, the Ledger accounts can be chosen as the report type from the drop-down menu.
The information about the buttons and their functions can be found from the general instructions for accounting reports.
Search criteria
- Accounting report type – Choose Ledger accounts.
- Receipt date – Enter the wanted time period for the report.
-
Presentation options section includes selections:
- Show rows with the zero values – By choosing the option the report shows only the rows with zero value.
- Hide creator in exports - Choosing the option hides the creator from the printable Excel, HTML or PDF formed versions of the report.
- Hide company ID in exports
- Hide search options in exports
- Show the receipt date in exports: determines whether or not the user wants to include the time period on the export. It can be selected only if user first selects Hide search options in exports.
-
Presentation type – There are different options how the information will be presented on the report.
- As a default, the report is in a form Total sum for selected period, which means that the figures are presented in one column within the time period defined in receipt date fields.
- Below the Presentation type field, it is possible to select Show percentage of the revenue. By selecting it a column % of revenue appears to the report. The column shows the row’s percentage share of the revenue.
- Receipt status – The status of the receipt(s) to be retrieved can be selected from the drop-down menu.
-
Comparison data to be shown – Choosing the option enables selecting the wanted comparison data to be brought to the report. Alternatives are budget (possible to select if the budget has been imported to Procountor) and comparison period. Only another or both can be selected.
- If the budget is selected as a comparison data, it must be defined if the figures are shown as a percentage from revenue, the difference in a currency or in a percentage (the default).
- If the report is not retrieved based on Dimension items, the comparison rata used is the basic budget. If the budget has been imported on a dimension level and the dimension budget is wanted to be used as a comparison data, the dimension budget’s figures can be used when the report is run for the items used in the dimension budget.
- If there are several versions of the budget imported to Procountor, the wanted budget can be used by using the search criterion Budget version.
- If the comparison period is selected to be used as the comparison data, the time period from which the comparison data is retrieved must be defined.
- The default period is the previous year, but it can be changed.
- If the selected Presentation type is Every quarter and total sum or 12 month cumulative sums ending in different months, the comparison period must be similar to it.
- If the budget is selected as a comparison data, it must be defined if the figures are shown as a percentage from revenue, the difference in a currency or in a percentage (the default).
More options– menu is used to choose new search criteria to the report if needed. It is possible to add the following search criteria to the Ledger accounts report:
-
Receipt type
- This search criterion defines the receipt type(s) to be retrieved to the report.
-
Receipt currency
- This search criterion allows to select receipts only in the desired currency to the report.
-
Receipt Name
- This criterion narrows the search only to receipts that are named with the content given in the Name field. The search can be done with the entire name or only with a part of it.
-
Customer's Company ID
- This search criterion outlines the search according to one business ID. Business ID can be entered fully, partly, with the country code and with or without hyphen.
-
Entry period (yyyy-mm)
- This search condition allows selecting receipts by the entry period. The system displays no default value for the entry period. If you enter both the date and the entry period, the system selects the receipts by the shortest common time period for those two criteria (for example, Receipt date 01.10.2019 - 30.11.2019 and Entry period 2019-11 - 2019-12 yield receipts from time period 01.11.2019 - 30.10.2019).
-
Transaction value
- This search criterion helps to select transactions to the report by the transaction value of the entry.
- The search is executed based on the Accounting value column of the general ledger. The characters > and < can be used when setting the search criterion.
-
Report’s language
- The search criterion defines the language of the report. The default language is the one selected in company’s basic information (Management > Company info > Basic information).
- If English or Swedish is chosen as a report's language, Procountor retrieves the translated version of the default account chart.
- The selected report language defines the reports language.
-
Report currency
- This search criterion defines in which currency the figures will be presented on the report.
-
Number format
- This search criterion defines how many decimals are used in the figures on the report.
- The default is two (2) decimals.
-
Dimensions
- This search criterion retrieves only transactions allocated to some exact dimension.
- Adding this search criterion brings the Dimensions field to the view, and below the dimensions field will appear the Items field.
- From the Dimensions field, it is possible to select the wanted dimension. Only one dimension can be selected, i.e., it is not possible to select several dimensions to the same report.
- The Items field shows the items of the Dimension selected in the Dimensions field. It is possible to select several items, for example, by pressing Ctrl button while clicking on the wanted items. If there are many items, they can be selected on the window opening by clicking on the magnifying glass icon.
- If several items are selected and they are wanted to be presented on their own columns (showing their figures) on the report the option Every dimension code and total sum should be selected to the Presentation type field.
-
Allocated part (dimension’s name)
- It is possible to select from all allocated parts of the used dimensions.
- The option enables choosing the items of several dimensions to be retrieved to the same report. The figures of the report will be multiplied with the percentages of the selected items.
- When selecting the Allocated part search criterion/criteria the field Allocated part (Dimension’s name) will appear and there is possible to select the items of the selected dimension. It is possible to select several items, for example, by pressing Ctrl button while clicking on the wanted items. If there are many items, they can be selected on the window opening by clicking on the magnifying glass icon.
- When using the Allocated part search criterion, the report is computational, and it is not possible to drill down to the receipts from the report.
- Further information of the search criterion and its usage can be found here
