Register-dimension reporting enables tracking and comparing transactions allocated to products and business partners by dimension item.
Register-dimension reporting view is updated automatically at intervals two to three times a day. The latest update time is visible in the top-left section of the report.
Register-dimension reporting view is found in Reports > Register-dimension reporting.
Search criteria
Common to some of the search criteria menus is the eraser icon ( with definition of Clear selections) in the top right corner. The eraser is used to clear selections in the menus. There is also a Clear selections button in the bottom of the view that is used to set all values back to default. The different characteristics of the different search criteria menus are explained more thoroughly below:
Time period:
- Current period
- Current year
- Previous period
- Last 6 months
- Start and End fields: Free date definition either by filling values in the fields or by using the calendar icon. If the words Start and End change to red colour when setting the dates, a financial year has not yet been created to the chosen time period. After time period is set, clicking Select period button sets it to the report.
Comparison period:
This search criterion is activated by clicking the switch symbol in the heading row ( with definition of Show or hide data for comparison period). Correspondingly, this search criterion can be deactivated by clicking the switch symbol again.
- Same last year
- Previous period
- Start and End fields: Free date definition either by filling values in the fields or by using the calendar icon. After time period is set, clicking Select period button sets it to the report.
Account:
- This search criterion appears when drilling down to receipt rows from the general report view, using button To details >>. Only income statement accounts can be selected to be included in the report.
- Search field: This field is used to search accounts by entering the account number or name (or a part of it). The field also functions as a drop-down menu to choose an account by clicking it. Choosing multiple accounts is done by highlighting the names with holding down the left button of the mouse.
- Listing of accounts: Accounts to be included in the report can be chosen also from the list of accounts below the Search field by clicking them. Choosing multiple accounts is done by highlighting the names with holding down the left button of the mouse.
Receipt type:
- Sales invoices
- Purchase invoices
- Travel invoices
- Expense invoices
Please note, that only receipt types that are found in Procountor on the given time period can be selected to be included in the report.
Receipt status:
- Business transactions: This selection includes business transactions to the report: business transactions are receipts that are in statuses Not sent, Sent, Paid, Approved, Partly paid, Marked paid or Invoiced.
- Other transactions: This selection includes transactions that are not business transactions to the report.
Product:
- Search field: This field is used to search products by entering the product name or id (or a part of it). The field also functions as a drop-down menu to choose a product by clicking it. Choosing multiple products is done by highlighting the names with holding down the left button of the mouse.
- Listing of products: Products to be included in the report can be chosen also from the list of products below the Search field by clicking them. Choosing multiple products is done by highlighting the names with holding down the left button of the mouse.
Product group:
- Search field: This field is used to search product groups by entering the group name (or a part of it). The field also functions as a drop-down menu to choose a product group by clicking it. Choosing multiple product groups is done by highlighting the names with holding down the left button of the mouse.
- Listing of products: Product groups to be included in the report can be chosen also from the list of groups below the Search field by clicking them. Choosing multiple products groups is done by highlighting the names with holding down the left button of the mouse.
Business partner / Business partner group:
- Searching and selecting is done the same way as in Product and Product group search criteria.
Dimension:
- Dimension – Dimension name: When this heading text is clicked, a list of dimensions opens below the heading text. When a dimension is chosen from the list, its name will be updated into the search field’s heading.
- Search field: This field is used to search the items of a dimension by entering a name (or a part of the name). The field also functions as a drop-down menu to choose an item by clicking it. Choosing multiple items is done by highlighting the names with holding down the left button of the mouse.
- Listing of items: Items to be included in the report can be chosen also from the list of items below the Search Items are chosen by clicking them.
Search results
Development
The Development graph at the top of the view shows the selected products’ and business partners’ data in vertical diagrams. This diagram is best suitable for inspecting one product and/or one business partner at a time.
Development graph can be presented in three different ways (by clicking on the buttons concerning the options found in the upper right corner of the view):
- Periodic
- By product
- By partner
Clicking on the Show by quarter texts changes the graph period from monthly to quarterly. Show by month changes the time period bank to monthly.
To details >> button enables drilling down to accounting entries of the receipts included in the report. The report only shows the entries of income statement accounts. << Back button enables returning to the general report view.
Pdf button opens the Development graph into a PDF file.
Excel icon (Send to Excel) opens the graph data into an Excel file.
Products
The Products section shows the sums allocated to dimension items selected in search criteria, sorted by product.
- Change order button lists the data sorted by dimension item instead of product.
- By group button combines the products (and sums allocated to them) selected in search criteria into product groups.
Business partners
The Business partners section shows the sums allocated to dimension items selected in search criteria, sorted by business partner.
- Change order button lists the data sorted by dimension item instead of business partner.
- By group button combines the business partners (and sums allocated to them) selected in search criteria into business partner groups.
Please note that if a certain product or business partner is not found in Procountor's registers, but has been added to an invoice manually, these products and business partners are shown in search criteria as well as search results under the name N/A.
