Salary slips can be searched in the Salary slip search view using a variety of different search criteria. The salary slip search view is divided into two sections. The search criteria are defined in the fields of the upper section and the search results are displayed in the table of the lower section.
Search functions
Search button searches receipts according to the given search criteria and lists them in a table in the lower section of the view.
Clear button clears the given search criteria.
My searches button is used to save the set search criteria. This way the same search criteria can be used effortlessly later with another search of salary slips.
Available search criteria
- Payday search criterion searches salaries according to the payment date, that is, the payday. If only a start date is inserted, the search displays the salary slips with the payday on that day or later. If only end day is inserted, all the salary slips until that payday are shown. Alternatively, a date interval can be used.
- Name search criterion searches salary slips according to the name of the employee. The field can be used with the first name or the last name, or alternatively with the full name in the format "Last name, First name". For example, if salary slips of an employee called Emma Employee are searched, the following options can be entered to the field: "Emma"; "Employee" or "Employee, Emma".
- Slip number search criterion can be used to search salary slips by a slip number. This search criterion can be used to search one salary slip at the time using the number.
- New search criterion is used to add new search criteria: for example, salary slips can be searched by the dimensions set to them. Another useful search criterion are person groups that are used to search, for example, only hourly workers or workers that are paid monthly (person groups are determined and created in Registers > Business partner groups).
- Salary slip status search criterion can be used to search salary slips with the selected statuses. The salary slip statuses and their explanations can be found here.
- Slip sent search criterion can be used to search salary slips that have been sent (Yes) or have not been sent (No).
- Incomes Register reporting setting search criterion can be used to limit the search results by the Incomes Register -related settings in the salary slips. The following options can be chosen:
- Include in both reports
- Do not include in earnings payment report
- Do not include in any report
Search results
The salary slip information is arranged in columns in the search results. The columns can be set to be visible or hidden by clicking the gearwheel icon. The round arrow icon resets the selections to default.
- Name column shows the name of the employee.
- Payday column shows the payment day of the salaries.
- Slip number column shows the salary slip number.
- Slip status column shows the current status of the salary slip. Instructions on the salary slip statuses can be found here.
- Slip notes column shows the notes written in the Slip notes field at the bottom of the salary slip.
- Slip sent column shows if the salary slip has been sent. A check mark will appear next to the salary slip after it has been sent to the employee. When the field contains a cross, the salary slip has been set to In correction status. Salary slip statuses can be found here. When the field contains a red cross, the salary slip has been set to In correction status, and then to Approved status, but it has not yet been resent.
- Earnings reported column shows if the earnings have been reported to the Incomes Register using Procountor’s earnings payment report. A check mark will appear in the field when the earnings have been reported to the Incomes Register through Procountor. When the field contains a cross, the salary slip has been set to In correction status. Salary slip statuses can be found here. When the field contains a red cross, the salary slip status has been set to In correction, and then to Approved, but the information has not been reported yet. The field is empty if the earnings have not been reported to the Incomes Register through Procountor.
- Salaries column shows the gross salary.
- Fringe benefit column shows the total of fringe benefits.
- Salary for ins. purposes column shows the salary for insurance purposes.
- Deduction to taxable income column shows the deductions before withholding taxes (salary type 7070).
- Tax column shows the amount of tax deducted from the salary.
- Taxable compensation column shows the remuneration subject to tax.
- Tax-free items column shows the total of tax-free items.
- Other deductions column contains all the salary types in the category "6 Deductions from net pay".
- Net pay column shows the net salary.
Search result buttons
View slip button opens a view of the selected employee’s salary slip.
Go to button opens an accounting or dimensions view.
Printable list button opens a drop-down menu to export the searched salaries to a PDF or ZIP package. The package includes the salary slip previews and/or attachments in accordance with the chosen selection.
Payment button opens the Payment view or Payment of multiple invoices view depending on how many salary slips are chosen active. In these views, bank transfers for one or more salary slips in the list can be made.
By clicking the search results with the right mouse button, the column data can be opened and saved in PDF, HTML or Excel format.
Insurance payment report
After making a search for salary slips, the Insurance payment report button above the search results shows insurance payment information for the imported salaries. Returning to the normal view is done by clicking the same button again that is now in the form of Slip details.
Procountor changes the search result fields to fit the requirements of the insurance payments report. The information of the report is divided into five categories: Slip details, Pension insurance, Unemployment insurance, Occupational accident and group life insurance and Health care insurance.
Slip details
- Name column shows the name of the employee.
- Payday column shows the payment day of the salaries.
- Slip number column shows the salary slip number.
- Slip status column shows the current status of the salary slip. Instructions on the salary slip statuses can be found here.
Pension insurance
- Salaries subject to column lists all the salary types on the salary slip that are subject to pension insurance.
- Employer contributions column shows the employer's share of the pension insurance payments.
- Employee contribution column shows the employee’s share of the pension insurance payments.
Unemployment insurance
- Salaries subject to column shows the total of salaries subject to the insurance.
- Employer contributions column shows the employer's share of the unemployment insurance payments.
- Employee contribution column shows the employee’s share of the unemployment insurance payments.
Occupational accident and group life insurance
- Salaries subject to column shows the total of salaries subject to the insurance.
- Payment column shows the total of occupational accident and group life insurance payments.
Health care insurance
- Salaries subject to column shows the total of salaries subject to the insurance.
- Payment column shows the total of health insurance payments.
